Late last year Google launched Workspace Studio - a new app to create automations without writing any code. It’s finally available to everyone (though your admin will need to enable it).

If you find yourself sending similar email responses often, one of the template automations will save you all the manual work of writing out those replies or copy/pasting them from a document.

You’ll only need a few minutes and a document with some answers to those frequent questions.

How to automate replies to questions in Gmail

First, check you have access to studio.workspace.google.com. (It’s only available to Google Workspace, not personal accounts, and your admin needs to enable it.)

  1. Scroll down and click the ‘Draft email replies to questions using a doc and Gemini’ template

  1. On the right-hand-side panel, scroll down and select ‘Specific sources’

  2. Click the Drive button and select your FAQ document

  3. Click ‘Turn on’ at the bottom of the screen

  1. Send yourself a test email from another account, with one or more questions

  2. Check the draft reply created in Gmail. You can edit before sending.

We’ve left all the template settings as default. After you’ve seen a few of the drafts, you’ll probably want to make changes to get better results. Just click ‘My flows’ on the left hand side of the screen in Workspace Studio.
